An online rota (shift) planning tool designed for centres to organise their invigilators during an exams series (including internal/mock exams and assessments) which is available as part of your membership to The Exams Office

 

What the tool offers

The tool allows invigilators to confirm their availability for an exam and/or internal/mock exams and assessments, and for exams officers to view this and confirm the sessions during which invigilators will be required.

User instructions

Exams officers

Step 1 – Add and name rooms which will be used for exams in your centre

Step 2 – Add/select exams which will be taken at your centre. You will have the option to select exams from the Exams Timetable Tool or manually add exams (for example mock examinations)

Step 3 – If you are also invigilating, confirm the relevant sessions/days you are available to invigilate (you can amend your availability at any time)

Step 4 – Instruct your invigilator(s) to indicate their availability on their Invigilator Rota Planning Tool within the Hub

Step 5 – View invigilator(s) availability for AM and/or PM

Step 6 – Create morning and afternoon rotas for each exam day

Step 7 – View your centre wide rota on the Planner and Summary pages

 

If you are also invigilating, you can view your personal invigilator rota

 

Invigilators

Step 1 – Confirm the relevant sessions/days you are available to invigilate (you can amend your availability at any time)

Step 2– Your exams officer will automatically view your availability

Step 3 – Once your exams officer has allocated you a shift, you will need to respond to accept or decline a shift(s)

Step 4 – View all accepted or declined shifts

Step 5 – View your personal invigilator rota

Step 6 – Alter any accepted or declined shifts if required
